Who we are
Patratus is run by Kitsap Software LLC (“we”, “us”). This policy covers this website and the Patratus app. If you have a question about it, write to [email protected].
Your account, and your organization’s workspace
- Your account and this website. We decide what is collected and why. This policy says what that is.
- What an organization keeps in its workspace, such as notes, documents, contacts, members, budgets and event lists. The organization decides what goes in and how long it stays, and we hold it for the organization. If you want a copy of what an organization holds about you, or want it erased, ask that organization. Its owners have tools in the app to answer you, and a request is due within 30 days. See Data requests.
What we collect
- Your account: your name, email address and profile picture if you add one, and your sign-in details. Clerk, our sign-in provider, holds these. We also keep which organizations you belong to and your role in each.
- What you add to a workspace: whatever you and the other members write, upload or record there.
- A record of activity: every change in a workspace is written to its audit log, with who made it and when. Reading personal records, such as contacts, members and expenses, is written to an access log. Owners of the organization can read both.
- Technical information: your network (IP) address and the requests your browser sends, used to keep the service running, limit traffic and protect it from misuse.
- The early-access form: your name, email address, organization and message. We use them only to reply to you, and keep them apart from every workspace.
- Billing: your organization’s plan, trial and billing period. When payments are switched on, card details go to our payment providers, Clerk Billing and Stripe. We never see or store your full card number.
The app has no place for voter files, donation records, party registration or personality profiles, and its AI is not allowed to guess the beliefs or personal traits of private individuals.
Cookies
This website sets no cookies and uses no analytics or advertising trackers. The app uses cookies from Clerk to keep you signed in.
How we use it
- To run the service: sign you in, show your organization its work and send the emails you ask for in your notification settings.
- To keep the service safe and working: limit traffic, find and fix problems and investigate misuse.
- To reply when you write to us, and to bill for paid plans when payments are switched on.
- To meet our legal duties.
We do not sell personal information, we do not use it for advertising, and we do not use your documents to train AI models.
Who else handles it
We use these companies to run the service. Each handles personal information only to do that work for us.
- Railway hosts the app, its database and this website, in the United States.
- Cloudflare runs our domain: it passes on the traffic to this website and the app’s pages, and forwards email sent to our address.
- Clerk provides accounts and sign-in and, when payments are switched on, billing.
- Stripe takes card payments through Clerk Billing, when payments are switched on.
- Voyage AI builds the index for search by meaning, when that is switched on: each passage of a document is sent to it.
- SendGrid delivers notification emails, when email is switched on.
AI runs on a language model on our own server, so no AI company receives your text. When AI runs, a task sends that server the document it works on, or the passages and question you chose, and nothing about who you are. An organization’s owners can turn AI off. See AI.
When an organization’s owners connect another tool, such as a chat, calendar or accounting service, information goes to that tool because they asked for it. We also disclose information when the law requires it.
How long we keep it
- Workspace data stays as long as the organization keeps it. Owners set how long each kind of personal record is kept, above a minimum. For example, notifications are kept for one year and access logs for two by default. Every night, older records are deleted or anonymized. See Retention.
- The audit log is kept for seven years.
- When an organization is closed, its data is kept for 90 days and then erased, except the audit log. See Closing an organization.
- Your account stays until you delete it. Deleting it ends your roles, and each organization you belonged to gets a request to erase your data. See Deleting your account.
- Early-access messages are kept while we are in touch with you. You can ask us to delete yours at any time.
What you can ask for
You can ask for a copy of your personal information, ask us to correct it, or ask us to delete it. For your account or this website, write to [email protected]. For what an organization holds about you, ask the organization, or use Trust → Your data and account in the app. Depending on where you live, you may have other rights too, such as the right to complain to a data protection authority.
Security
Each organization’s data is kept apart by the database itself, secrets are encrypted and every change is recorded. The security page says what is in place and what is not done yet.
Where your information is stored
The service and its database run in the United States. If you use it from another country, your information is sent to and stored in the United States.
Children
The service is not meant for children under 16, and we do not knowingly collect their personal information.
Changes to this policy
We post every change on this page and update the date at the top. If a change affects how we use information we already hold, we will tell organization owners before it takes effect.
