Closing an organization

An owner can ask the platform team to close an organization. Closing ends everyone's access to it. You can also close your personal workspace, as part of deleting your account.

Asking to close it

Owners find Close this organization under Admin โ†’ Close the organization, and from Trust (the Close this organization area). In a personal workspace, the same request is on Trust โ†’ Your data and account, under Delete your account.

Before you ask:

  • Download a copy of everything under Admin โ†’ Exports (Exporting your workspace). After the organization is closed, nobody can download it.
  • If you pay for a plan, cancel it under Billing (Billing). Closing the organization does not cancel the plan.

To ask, type the organization's name exactly as it is shown, then choose Ask to close this organization (in a personal workspace, Ask to close my personal workspace). The button stays off until the name matches.

What happens

  1. The request waits for the platform team. Nothing else changes: every member keeps access, and the page shows who asked and when. Any owner can choose Cancel the request while it waits. Only one request can wait at a time; after a cancellation you can ask again.
  2. The platform team closes the organization. From then on, every member is refused with "This organization has been closed". API keys and directory sync stop working. The organization still appears in the organization switcher, but it cannot be opened.
  3. The data is kept for 90 days. Closing does not delete anything by itself: no member can see the data, but it is still stored.
  4. Then the platform team erases it. Every record goes, with every uploaded document, extracted text, export and published page, and the organization leaves its members' organization switcher. Only the audit log stays, for the seven years it is always kept: it shows who asked, who closed the organization and when it was erased.

Asking, cancelling, closing and erasing are each recorded in the audit log (organization_closure_request.requested, .cancelled, .closed, .erasure_requested and .erased). A closed organization's audit log can no longer be opened by its members.

Your personal workspace

You are the only member of your personal workspace, so closing it is part of deleting your account. Once it is closed you cannot open it again, and signing in does not create a new one. Delete your sign-in account afterwards, in your account settings (Deleting your account).
