Calendar integrations

Publish your organization's meetings and rituals to a Google Calendar or Microsoft 365 calendar, so they sit beside everything else in people's calendars. Owners set it up under Initiatives → Integrations → Calendars.

Publication is one way: events are created, updated and removed in the calendar to match the organization's meetings and rituals, and nothing is read back. Editing or deleting an event in the calendar does not change the meeting here (the next publication puts it back as it is here). Nobody is invited: events carry the meeting's title, time and a link, and no attendees.

The calendar subscription feeds (ICS links) keep working as before; this is an addition, not a replacement.

What is published

  • Meetings: scheduled and in-progress committee and general meetings from a day ago to 180 days ahead. A cancelled meeting is removed.
  • Rituals: each active ritual's next run, unless that run already has a scheduled meeting (then the meeting is published instead). A paused ritual is removed.

Choose either or both under What to publish. Rituals use their own time zone; other meetings use UTC.

Setting it up

  1. Choose Connect Google Calendar or Connect Microsoft 365 and sign in. Google asks to see your list of calendars and to manage events; Microsoft asks to read your profile and manage your calendars.
  2. Choose the calendar to Publish to. Calendars the account can only read are listed but cannot be chosen. A calendar of its own (such as "League meetings") is a good choice.
  3. Events are published within 15 minutes, again every 15 minutes, and at once when a ritual meeting is adjourned. Publish now does it immediately.

Changing the settings makes you the owner the publication runs on behalf of. If you stop being an owner, publication stops until another owner changes the settings.

Disconnect revokes the tokens and stops publishing; events already in the calendar stay there.

Sample mode

Without a Google or Microsoft app configured on the deployment, calendars run in sample mode: signing in returns at once, the calendars are samples, and events are recorded but never sent. The page says so.
