Relationship Directory

The Relationship Directory keeps the people your organization works with, only with their consent, and the meetings, calls and hearings you have had with public bodies and officials.

Open it from Statecraft → Contacts.

A contact is kept only when the person gave your organization consent to keep their details. Adding one records how they consented (a written form, a web form, an email, in person or by phone, an event sign-up sheet), when, and what else they agreed to (being emailed, being phoned). The consent is kept with the data requests and retention tools:

  • When a person withdraws consent, their email and phone are cleared at once and the contact is archived.
  • A data request for a person exports or erases what the directory holds about them, including their name on interactions.

There are no notes, tags, scores or "leaning" fields on a contact; notes belong on interactions.

Public officials

A contact can be linked to a public office they hold, from the public record (a council seat, a commission). That link is about their official capacity only. The office, its holder and their votes come from the public record, not from the directory.

Importing a spreadsheet

Import from a spreadsheet reads a CSV with a name column and optional email, phone, affiliation and title columns. Choose how everyone in the file consented, and confirm that every person in it gave your organization consent. Check the file reports first, without saving anything: which columns are used, which are dropped, and each refused row with the reason. Lists bought, rented or passed on by others are refused, as are rows that look copied from social profiles.

Interactions

Interactions (the link next to the Contacts heading) log a meeting, call, email, event or hearing: what happened, when, with which contacts, and the body, office or issue it was about. Notes go here. An interaction in a restricted project is visible only to that project's members (information barriers).

Who can do what

Researchers, editors, project leads and owners can add, import and archive contacts and record interactions. Every view of a contact's details is logged in the access log.
