Admin

The Admin page is where owners run the workspace: who has which role, what has changed, exports, usage, and the settings that other parts of the app add. It appears in the main navigation for owners only. Anyone else who opens it is told to ask an owner.

Section What it is for
Members and roles Who is in the workspace and what each person may do.
Audit log Every change, who made it and when.
Exports A complete copy of the workspace (Exporting your workspace).
Connectors and coverage Which public sources the workspace follows (Sources).
Usage and spend This month's usage against the plan's limits, AI spend, and the switch that turns AI off.
Retention and barriers Retention policies and information barriers.
Close the organization Ask to close the workspace (Closing an organization).

The last four hold sections that other parts of the app add. A section with nothing in it yet says what will appear there.

Members and roles

The table shows everyone in the organization, the roles each holds (for the whole workspace or for one project) and when they joined. Above it, an organization's owners see how many of the plan's people are taken, for example "5 of 25 people on the Organization plan".

People join through an invitation to the organization. In an organization, enter an Email address and the Role to grant when they join (or Decide later), then Send invitation; the sign-in service emails it. Each invitation not yet accepted is listed under the members with Invitation sent and its date, until the person joins; Withdraw cancels it. Invitations work as on the Team page and count against the plan's people. A personal workspace has no invitations.

To grant a role, pick it and its scope (Whole workspace or a project), then Grant. To revoke one, use the × on its chip.

Role May
Owner Everything, including Admin, roles, exports, and marking projects restricted.
Researcher Open and edit issues, link records, and do research work.
Editor A researcher's work, plus editorial review and publishing.
Project lead Create, rename, archive and restore projects, plus a researcher's work. Granted for one project, only there.
Finance steward Read everything, plus the finance work in Treasury.
Reader Read everything in the workspace.

An owner satisfies every requirement, so owners need no other role. A member can hold several roles; they add up.

Rules:

  • The workspace must keep at least one owner, so the last owner role cannot be revoked.
  • Roles can only be given to people who belong to the organization.
  • A person holds a role once per scope; granting the same role again is refused.
  • When someone leaves the organization, their roles stay listed with Left the organization until you revoke them. They can no longer open the workspace.

Every grant and revocation is in the audit log, and the person given a role is notified.

Audit log

Every change in the workspace is recorded as it happens, in the same step as the change: who made it (a member, the AI or the system), what changed, and when. The log is append-only. Nobody can edit or delete an entry, owners included.

Filter by:

  • Action, such as an issue update;
  • Record type, such as issue;
  • Record ID;
  • Who, a member's account ID or a system process;
  • Since, a date.

Each entry shows when it happened, who acted (a member's name, System or AI, with the account ID or process the Who filter takes) and what happened in words, such as "Role grant created", with the action code, record type and record ID under it. Details shows the fields that changed.

Entries are newest first; Load more goes further back. The full trail is also in every export. On a plan with data contracts (Enterprise), Download as CSV downloads the last 12 months of the log; Audit log export covers other date ranges and formats.

Usage and spend

Plan usage shows this month's metered usage against your plan's limits, one tile each, with a bar for each figure that has a limit (amber from 80% of it, red at it):

  • AI use (tokens) and AI spend;
  • documents fetched;
  • export size.

It also shows the plan's limits on people, saved locations, active sources and projects. Usage is recorded as work happens; Billing explains what happens at a limit. A limit never blocks access to existing data or exporting it.

The AI section beside it shows whether AI tasks run, this month's AI spend against the plan's AI budget, and where the text goes. An owner turns AI off or on for the whole organization there. AI explains the budget and the switch.

Plan Parts of the app People Saved locations Active sources Projects Monthly AI budget
Personal All 1 Unlimited Unlimited Unlimited US$10
Research Research (research and writing) 5 3 50 10 US$50
Organization All 25 10 500 Unlimited US$200
Enterprise All, plus enterprise controls Unlimited Unlimited Unlimited Unlimited No limit

Projects, issues, links, search, notifications and the audit log are part of every plan. A part of the app outside your plan, or one switched off for your workspace (for example while it is in preview), is unavailable: its pages say why, and its features are refused.
