Portfolios

A portfolio groups initiatives for a period, with the hours a week the organization can put into them and a budget envelope. Scenarios on a portfolio ask "what if": different dates, budgets, hours, or which initiatives to include. Nothing here changes the initiatives themselves.

Every member can read portfolios; project leads (and owners) create and change them.

A portfolio

Portfolios → New portfolio asks for a name, a period (start and end dates), the weekly capacity in hours and a budget envelope with its currency. Then choose its initiatives (from the ones you can see).

The portfolio page shows its initiatives, the current plan (the initiatives as they stand, with their own dates and budgets) and the latest result of each scenario. The current plan carries no hours: hours come only from a scenario's assumptions, so the current plan shows zero.

Archiving a portfolio keeps its scenarios and their results.

Scenarios

New scenario starts one on the portfolio. For each initiative, set its assumptions: include or leave it out, a budget, start and due dates, and weekly hours. Anything you leave blank uses the initiative's own value (the portfolio's period for dates, zero for hours).

Compute works out, and stores:

  • Cost: the total of the included initiatives' budgets, per currency.
  • Duration: from the earliest start to the latest due date, in days.
  • Hours by week: Monday to Sunday, across the portfolio's period and the plan, against the weekly capacity. The peak week is shown.
  • Conflicts:
    • Over capacity: a week needs more hours than the portfolio has;
    • Past the period: an initiative runs beyond the portfolio's end date;
    • Over budget: the total cost is more than the envelope;
    • Initiative budget exceeded: an assumed budget is above the initiative's own envelope;
    • Outside commitment: the initiative is also in another live portfolio.

Results are kept, oldest to newest. When the scenario's inputs change after a result was computed (an assumption, the portfolio, or an initiative), the result is marked stale until you compute again. Compare a scenario with the current plan on its page.

Restricted initiatives

A restricted initiative appears in the rows only for members who can see it. The totals, hours and conflicts still include it, so everyone sees the same numbers.

Computing a scenario never edits an initiative, milestone or task. To act on a scenario, change the initiatives themselves; see Initiatives.
